Scan the whole pile
No need to separate letters first. SortedPost finds the boundaries between documents and counts the pages in each one.
Feed the morning's post through your Sharp MFP in one go. SortedPost works out where each letter starts and ends, reads it, gives it a name and a summary, and puts it on the right desk in minutes.
Nothing goes out unchecked. A reviewer approves every letter before it is delivered by email, folder or webhook.
Scan → OCR → AI triage → review → deliver
Penalty notice for period ending 5 Sept. Response due within 30 days.
Closing statement for the tenancy that ended in August. £212.40 credit.
Reminder for Oakfield Ltd, due 31 October. No action if already filed.
No sorting, no stapling, no typing. Open the post, drop it in the feeder, and press scan.
Put the whole pile in the document feeder. Your Sharp MFP sends it to SortedPost by SFTP, FTPS or email. No new hardware.
Every page is OCR'd into searchable text, so the scan becomes a real document rather than a picture.
The software works out what's what and how many pages belong to each letter, then names and summarises it and suggests who it is for.
A reviewer checks the inbox, fixes anything the AI got wrong with a click, and approves. Nothing is sent until they do.
Each letter lands as a PDF with the right person: by email, into a shared folder, or straight into your systems via webhook.
Designed with offices that receive dozens or hundreds of letters a day, and have better things to do than open them.
No need to separate letters first. SortedPost finds the boundaries between documents and counts the pages in each one.
Print a QR separator sheet and drop it between letters. It forces a boundary every time and is removed from the scan automatically.
Each letter gets a sensible filename, a two-line summary and the key facts: who it's from, what it's about, any deadline.
Give SortedPost your people, teams and clients. It matches each letter to the right recipient and learns from your corrections.
Review in a fast web inbox with keyboard shortcuts and bulk approve. Rename, re-route, merge or split before anything leaves.
Email to the recipient, drop into a network folder or document system, or post to a webhook. Combine them per team.
Any Sharp multifunction printer with Scan to SFTP, FTP or email will do. Set the destination once and you are done.
Use our hosted service, or run the same software on a server in your office so scans never leave the building.
The AI reading costs about a penny per scanned page. Compare that with the minutes a person spends on every envelope.
HMRC letters, bank statements and client paperwork sorted by client and routed to the right manager.
Court correspondence, searches and signed documents attached to the right matter the same morning.
Utility bills, council notices and tenant letters matched to the property and the person who looks after it.
One scanner for the whole building. Each tenant or team sees only their own mail.
Pricing depends on how much post you receive and whether you want the hosted service or an installation on your own server. Tell us about your volume and we will send a quote.
Any Sharp multifunction printer with Scan to SFTP, Scan to FTP (with SSL) or Scan to E-mail. That covers current BP and MX series and most older models. Other brands with the same functions work too, and you can also upload PDFs by hand.
No. Scan the pile as one batch and SortedPost works out where each letter starts and ends. For post where a wrong boundary would matter, drop a printed separator sheet between letters; it guarantees the split and is removed from the output.
Nothing is sent until a reviewer approves it. In the inbox you can rename a letter, change who it goes to, merge pages into one document or split them apart, then approve. Your corrections improve routing for that sender next time.
Scans travel encrypted from the MFP (SFTP or FTPS) and are stored for your organisation only; other customers on the hosted service cannot see them. The text is sent to an AI model for naming and routing and is not used to train it. If you prefer that scans never leave your building, we can install SortedPost on a server in your office.
Yes. The same software runs as a small set of containers on a Windows or Linux machine in your office, with delivery into a local or network folder. You still need an internet connection for the AI step.
It depends on your volume and whether you want hosting or an on-premises installation. The AI processing works out at roughly a penny per scanned page; the rest is the service around it. Get in touch and we will quote.
A searchable PDF of just their letter, with a descriptive filename and a short summary, by email, in a shared folder, or via webhook into your case or practice management system.
Tell us how much mail you get and what you scan it with. We will set up a trial on your own Sharp MFP and show you the first morning's post sorted.
